Change the responsibility, not just the name
A departing physician can affect patient care, prescribing, protocols and clinic administration. Begin with the responsibilities that physician actually holds: supervising clinician, APRN protocol physician, PA supervisor, records owner or an AHCA clinic medical director. Those roles may have different obligations.
Tell us your Florida location, service menu, provider roles and proposed transition date. Availability and fit are reviewed individually; an inquiry does not reserve coverage.
Before the outgoing arrangement ends
- Coverage: identify who is responsible for current patients, pending results, prescriptions and urgent concerns at every stage.
- Authority: check whether treatments can continue under existing orders and protocols. A replacement signature does not automatically transfer them.
- Qualifications and location: assess the incoming physician’s competence, license, availability and any off-site aesthetic-supervision restrictions.
- Agreements and notices: review termination terms, board notifications, posted schedules and facility obligations with counsel.
For arrangements governed by §458.348, the statute includes notice within 30 days of entering or terminating specified supervisory relationships or protocols. That does not establish one universal notice period for every med-spa contract.

Make the records handoff usable
Identify the records owner and custodian, authorized clinician access, outstanding care and the process for patient record requests. Arrange a secure transfer where appropriate; do not export records into ordinary email or this website’s inquiry form.
If a physician is relocating or terminating practice, review the relevant board’s patient-notice, retention and disposition rules. An electronic medical record account alone does not decide legal record ownership.
§456.057: records ownership, access and confidentiality · Rule 64B8-10.002: MD relocation or termination records
A practical Florida transition plan
- List every location, procedure, prescriber and current supervisory arrangement.
- Review the proposed physician and service model with the clinical team and healthcare counsel.
- Document effective dates, new or revised protocols, clinical availability, escalation and records access.
- Complete required notices and confirm readiness before affected services proceed.
- Revisit the plan after staffing, services or locations change.
If appropriate clinical authority or coverage is unavailable, the responsible clinicians must decide whether affected treatments should pause or patients need another care pathway.
Keep evaluations connected to ongoing care
Our participating-practice good-faith exam model connects evaluations, treatment plans and documentation in the proprietary EMR. A transition needs to address access to those records and the incoming clinician’s review. An exam purchase does not replace a lawful supervision arrangement or create a patient relationship with a new clinician.
